Offices are ground zero for wasteful behaviors. There are so many papers floating around that half the time no one can keep track of them. So files are copied and recopied as needed, then discarded into an old file cabinet once the employees are done with them. There are many things that go into creating a paperless office. First, you will want to find paperless office solutions that will replace traditional paper copies of files and important documents. This comes in the form of scanners, photo scanners, book copiers, high spend scanner, fax to PDF conversion, and digitization of postal mail. This may seem like a high initial cost to invest in a paperless office, but you will easily begin to see the benefits of having a paperless office, even if you slowly phase these new technologies in over a long period of time.
In fact, most office managers prefer to phase in a paperless office slowly so that the customers as well as the employees can get used to the chances. The first change is often putting someone in charge of getting all of the old files scanned, saved, and backed up through different computer systems. This will be the bulk of the work you will have ahead of you in beginning the switch to a paperless office. So let your employees take their time switching the old files onto the new system. Then, once the majority of this is complete, you can begin switching to a paperless office for all new files and documents that come through.
Be prepared to do a lot of explaining when customers come in. If they have to sign papers, you may have to explain to them the changes that are going on. Most people will also want a traditional paper copy of any forms that they sign, so you will want to make sure your office still retains this capability. Because not everyone wants to get their signed copies in an email, you will still have to maintain at least one copier in the office for these routine document copies for customers.
The once step that you may have trouble with when converting to completely paperless office is probably the issue of copyrights. If you want to get all of the books in the office out of the way, you will probably run into laws that restrict the transfer of certain document to electronic format.
But you will have so many benefits from switching to a paperless office. The most noticeable difference you will see is that you will no longer have to stare a large, bulky file cabinet. These will be a thing of the past. You will also notice that your company is wasting a lot less paper, and this can be the start of a great green campaign for your company.
